Position Summary
In this position, the Receptionist/Medical Records Clerk assists patients in person and via the phone by making appointments
, collecting demographic and insurance information, and directing calls to appropriate clinic personnel. In addition, this position is responsible for preparing, maintaining, and facilitating access to patient medical records for the purposes of patient care.

Essential Duties and Responsibilities
  • General Reception and Registration Functions; Greets the patient and answers the telephone, communicates general practice information to patients and family members and provides patients with appropriate paperwork; Gathers accurate information by interviewing patients, verifying insurance coverage, recording information using registration software, and obtaining signatures, for each patient encounter.; Collects co-payments, past due balances and payments at time of service; Utilizing provider protocols, schedules appointments, referrals and diagnostic tests, and maintains updates and distributes schedule
  • File Maintenance; Pulls and prepares charts for visits, telephone calls, and per staff request, prioritizing based on urgency of request; Prepares new records, repairs damaged records, archives files, and files charts and loose paperwork
Education, Experience and Licensure/Certification Requirements
Requirements are representative of the minimum level of knowledge, skills and/or abilities necessary to perform the essential functions of the position
  • High School Diploma or equivalent
  • Current BLS certification (or successful completion within 3 months of hire) (site specific)
  • Ability to communicate effectively and diplomatically within a multi-functional team
  • Strong organizational skills and attention to detail
  • Ability to successfully function in a fast paced, service oriented environment
  • Experience in understanding and usage of computers, including Microsoft Word, as well as the ability to learn new applications relevant to the position

POSITION REQUIREMENTS
Our Orthopedic Clinic has a full time opportunity for a Medical Receptionist to join our team! The Medical Receptionist is the first point of service for our patients coming into Orthopedic practice and is responsible for greeting, registering and scheduling patient appointments. Responsible for verifying insurance eligibility and benefits. Collects co-payments and obtains routine financial information from various sources to obtain payment plan arrangements and Medicare coverage. He/she also answers the phone and acts as a primary source of information to patients in the waiting area.

Requirements include:

Summary
Using excellent customer service, responsible for scheduling patients, updating patient information, performing visit processing (check in) and check out functions
and acting as a liaison in reporting any patient suggestions to the clinic manager.  Requires a variety of skills to maintain clinic schedules and patient related issues.  Responsible for assisting in training of other employees in reception and associate level scheduling.   Also responsible for assisting in the maintenance of scheduling templates and providing input in department guidelines. Performs the general scheduling and paperwork for assigned  clinics.

Qualifications
  • High school diploma or equivalent required.
  • One year of experience working in an office environment.
  • Previous experience working in a medical office environment.  Previous experience or interest in learning scheduling of patients preferred.

JOB SUMMARY
The Medical Receptionist handles incoming and interoffice telephone calls/inquiries, taking complete messages and forwarding calls appropriately. Greets patients and visitors at the front desk; checks in-patients and obtains necessary information for billing purposes. Schedules patient appointments. Follows procedures for new and established patients, verifies information, collects payments, explains insurance billing requirements and provides receipts. Work involves daily recurring activities such as completing deposits, filing charts and related paperwork, checking in/out patients and completing various daily tasks.

REQUIREMENTS
Must possess basic skills to use Microsoft Windows, the internet, and send/receive e-mail. Knowledge of clinical/medical front office procedures. Flexible and relates well with others in a professional and pleasant manner. Knowledge of medical records confidentiality. Detail oriented and organized. Excellent communication/public relations skills to meet the needs of patients, providers and co workers required. High school graduate or equivalent preferred.
